Data Retention & Deletion Policy

This policy explains how long Equalora.ai keeps different types of data and what happens when you request deletion or stop using the Service.
1. What we store
- Account and authentication data (email, IDs, metadata).
- Case data (documents, OCR outputs, notes, deadlines, and related fields).
- AI interactions and summaries.
- Billing and subscription records (via Stripe).
- Technical logs and error reports.
2. Retention periods
| Data category | Retention |
|---|---|
| Active accounts (cases, documents, notes) | Stored while the account is active and subscription or login remains in use. |
| Inactive accounts | Accounts with no login activity for 24 months may be scheduled for deletion. |
| Deleted accounts | Data removed within 30 days of confirmed deletion, subject to backup rotation. |
| Billing records | Retained for up to 7 years to comply with tax and accounting obligations. |
| Logs | Typical retention is up to 90 days, unless needed for security investigations. |
3. Account deletion requests
You can request deletion of your account at any time by contacting support@equalora.ai or using any in-app deletion tools we provide.
When you request deletion:
- Your account is closed and access is removed.
- Documents, OCR text, case data, and AI summaries are removed from primary systems within 30 days.
- Some minimal data may temporarily remain in encrypted backups until those backups naturally rotate out.
4. Exceptions
We may keep limited data for a longer period if necessary to:
- Comply with legal or regulatory obligations.
- Enforce our Terms of Service.
- Resolve disputes or investigate abuse.
